Why nonprofits need simple donor mail merge
Nonprofits mail to donors constantly: thank-you letters, tax acknowledgments, appeal letters, and updates. The donor list usually lives in a spreadsheet or donor database. You need mail merge for nonprofit donor letters—envelopes and often a personalized letter (e.g. “Dear [Name], thank you for your gift…”). Word mail merge can do it; List Processor does it without the wizard and without breaking when you export from different systems.
How to do donor letter mail merge in Word
In Word you create your letter or envelope template, then:
- Select Recipients → Use an Existing List and link your donor export (Excel or CSV from your database). You choose the correct sheet and range. Different exports (e.g. post-campaign vs. annual) may have different column names or order, so you may re-map each time.
- Insert merge fields into the letter («FirstName», «AddressBlock», «GreetingLine», etc.). Your export must match or you map columns in the Mail Merge Recipients dialog.
- Preview and fix any broken or blank records. Duplicate or malformed addresses can cause wrong names on wrong letters.
- Finish & Merge to print or save as PDF. For envelopes plus letters, you often run the merge twice or maintain two documents.
It’s tedious to set up and easy to break when exporting from different systems. A simpler merge means less time on setup and more on your mission.
